  • Every field Rule 46 asks for is already ruled onto the page
  • Opens and prints from a phone, no desktop needed

What is a GST invoice format in PDF?

A GST invoice format in PDF is a print-ready page that already carries the fields a tax invoice needs: your GSTIN, the buyer GSTIN, a consecutive invoice number, HSN or SAC codes, the taxable value, and the CGST, SGST or IGST split. Print it, then fill in every bill by hand, working out the tax yourself.

A GST invoice carries fields a plain bill never needs: your GSTIN, the place of supply and a tax split across CGST, SGST or IGST. None of those is optional once you are registered.

Both PDFs on this page start from that requirement rather than adding it later. The GSTIN line, the HSN or SAC column and the supply-type line are already ruled into the header block and the item grid.

What differs between the two PDFs is scale, not correctness. The full page carries a GST rate per line, for a bill that mixes rates. The simple page carries one rate for the whole invoice.

The trade against Excel and Word is flexibility. Nothing on a printed page can be typed over or recalculated. What it buys back is speed: no device, no battery, no software, just a pen and a ruled grid.

How do I use a GST invoice format PDF?

Print a stack of the PDF, the way a bill book works. Number the pages in advance, in one consecutive series for the year. For each sale, fill in the buyer, set the place of supply, write each item line, work out the tax by hand, and sign before handing over the copy.

Treat the printing as setup, not billing. A stack printed and numbered in advance means the invoice series is already fixed before the first sale of the day happens.

From there, every invoice is one sheet off the stack, filled in in order. Working through the pile top to bottom is what keeps the series consecutive rather than picked at random.

Because nothing on the page calculates, work out the taxable value and the tax under each head on a calculator first, then write the finished figures on the sheet. Check the grand total against the sum of the lines before handing it over.

The steps, in order

  • Download the PDF and print as many copies as you expect to bill
  • Number the pages in advance, in one consecutive series for the year
  • Fill in your business name, address, GSTIN and state on each page, or preprint them
  • For each sale, write in the buyer name, address and GSTIN if registered
  • Set the place of supply, which decides CGST plus SGST against IGST
  • Write each item line: description, HSN or SAC, quantity, rate and taxable value
  • Work out the tax under each head and the grand total by hand
  • Write the amount in words, then sign and hand over the copy

What fields does a GST invoice need on paper?

Rule 46 of the CGST Rules sets the particulars a tax invoice must carry: your GSTIN and address, a consecutive invoice number, the buyer GSTIN where registered, HSN or SAC per line, quantity, rate, taxable value, place of supply and the tax split. Both PDFs on this page rule every one onto the page.

None of these fields is a matter of house style. A bill missing the place of supply, or missing the buyer GSTIN on a business sale, is a bill the buyer may not be able to claim input tax credit against.

Both PDFs lay every field out once in the header and the item grid, so filling in a bill is a matter of writing values into a shape that is already correct.

The fields on the page

  • Your business name, address and GSTIN
  • A consecutive invoice number, unique within the financial year
  • The invoice date
  • The buyer name and address, plus their GSTIN when registered
  • The HSN code for goods, or the SAC code for services, per line
  • Description, quantity, rate and taxable value for each line
  • The place of supply, with the state name and its code
  • The tax split: CGST and SGST together, or IGST alone
  • Whether reverse charge applies
  • A signature block for the supplier

An illustration, not a real business. Both parties are in Karnataka, so the 18% GST splits into CGST 9% and SGST 9% rather than becoming IGST. On the printed page, these figures are written in by hand rather than calculated.

PDF, Excel or Word: which one for a GST invoice?

Take PDF when you need to bill without a computer: a stall, a delivery van, or a power cut at the counter. Take Excel when you bill often and want the GST split worked out for you. Take Word when you want to type over a layout, add terms, or paste in a logo.

PDF suits the counter that cannot rely on a device being on and charged. Print once, and every bill after that needs only a pen, whatever the power situation.

The trade-off is the same as Word, plus one more step. Nothing recalculates, and the figures have to be written by hand rather than typed, so a slip is easier to make and harder to notice.

Excel stays the better default for a bill raised often on a working device, because it is the only one of the three that catches an arithmetic slip before it reaches a return.

All three formats, side by side

Does a GST invoice in PDF work for services with SAC codes?

Yes. The HSN column on both PDFs doubles as the SAC column: goods take an HSN code, services take a SAC code, and the rest of the row works the same either way. A single invoice can even mix goods and services, each carrying its own code.

Goods and services are classified differently under GST, but the invoice does not need two separate layouts for that. Quantity, rate, taxable value and the tax split behave identically whether the line is a product or a service.

What changes is only the code written into that column and, for some services, the place of supply rule that decides where the tax is collected. A contractor billing a client in another state still fills in the same page, just with a SAC code and the client state as the place of supply.

When does a printed GST invoice stop being enough?

A printed page cannot enforce a consecutive invoice number across two people billing at once, remember what a party already owes you, or turn a return into a credit note that carries the original invoice number and date. Invoice Saathi does the tax, the numbering and the ledger, then prints or shares the bill.

Numbering is usually the first thing that breaks. A bill book does not stop two people, or one person filling in two different books, from writing the same invoice number twice, and once that happens the two bills share the only key that identifies either of them.

The ledger is the second thing a printed page cannot hold. It does not know what a party owes you, and it does not know that the bill you wrote last month is the one a return now has to be credited against, carrying that invoice tax treatment forward rather than starting over.

The billing screen stays as plain as the page: items and a total. Tax settings live in Setup, entered once, and the breakup appears on the printed bill.

FAQ

GST invoice format in PDF questions

Is this GST invoice format in PDF free to download?
Yes. Both PDFs are free, need no email address and no signup, and carry no watermark. Print them, write your own business name on them, and use them for your own billing. The Excel and Word versions beside them are free on the same terms.
How do I fill a GST invoice in PDF?
Print a stack of the PDF and number the pages in advance. For each sale, fill in the buyer, the place of supply and the item lines, work out the tax under each head yourself, then sign and hand over the copy.
Does the GST invoice format in PDF calculate CGST, SGST and IGST for me?
No. Nothing on a printed page recalculates, so work out the taxable value and the tax under each head yourself before writing them in. If you want the arithmetic done for you, take the Excel version instead, which carries the same fields as live formulas.
What is the difference between the two PDF templates on this page?
The full page has ten item lines and room for a GST rate per line, for a bill that mixes goods at different rates. The simple page has five lines and one rate for the whole bill, which suits a shop that sells at a single rate.
Can I use this format for a service invoice with a SAC code?
Yes. The HSN column on both PDFs takes a SAC code just as well, and everything else on the row works the same for a service line as for a line of goods.
What if I am not registered under GST?
Cross out the GSTIN line and the tax rows before using either PDF. An unregistered seller must not charge GST or show a GSTIN. The party details, the item table, the totals and the amount in words still work on a bill with no tax on it.

Let the invoice number itself

The app does the tax split, the consecutive numbering and the amount in words, then prints to a counter roll or shares a PDF on WhatsApp. The document stays where it is useful.
